Frequently asked questions about Doxpop's Property Watch Service

Doxpop Provides a free service called Property Watch allowing property owners in the counties we serve to set a watch for Recorded Documents filed that match the legal description of their property and/or their name. 

The purpose of this service is to keep people informed of any Recorded Document that may affect them. Although similar services are touted as "Fraud Alert" systems, Doxpop takes a less scary approach: We believe that property owners should simply be aware of anything that affects them, including the vast majority of documents that are legitimate.

The following are the most common questions we are asked about this service:


Will Property Watch prevent someone from filing a fraudulent document?

No. Because the law does not allow Recorders to reject any properly formatted document, it is currently not possible to prevent fraudulent filings. Our role is to notify you quickly enough that you can take action before the fraudster does damage by convincing their real victim (the "buyer") that they can take possession of your property. A fraudulent document does not  actually transfer ownership, so the damage that occurs is when the person who thinks they bought the parcel from a fraudster shows up to take possession. Immediate notification allows you to prevent the damage through swift action.


If I receive a notification, does it mean fraud has occured?

No! In fact, fraud is extremely rare. The vast majority of notifications we send out just alert you that a legitimate document has been filed. That's why we call our service "Property Watch" instead of giving it a scary name like "Fraud Warning". If you receive a notification, there is usually no cause for immediate concern. We expect you will almost always recognize the document as being part of a transaction you're aware of. However, if you don't recognize the document, you should follow up as soon as possible to learn more.


I have subscribed to property watch for a property that is described using "Section/Township/Range" in the legal description, and I'm getting alerts for parcels that are not mine. Why does this happen?

Only the "short" legal description and party names are consistently entered in the indexing system for Recorded Documents. In rural areas, the short legal is not very specific, and typically only allows us to narrow the match down to a "Section", which is a one square mile area. If your legal description is composed of one- or two-digit numbers and the letters N, S, E, W separated by dashes, you are affected by this. (Example: 29-11N-1W N) Although we know alerts for this type of parcel are not very precise, we always send notifications for a potential match. We believe the trouble of investigating a potential false positive result is worth it to avoid missing an actual match. If you receive an alert of this sort, just contact us, and we'll look at the specific document to help you assess whether it really refers to your parcel.


Does signing up for Property Watch create a Doxpop account that I can log into?

No, Property Watch is a standalone service that does not create a regular Doxpop account. If you'd like to explore our other services, we invite you to sign up for a Doxpop account at our "Free" subscription level, which is designed to allow non-professionals access to public records. If you're interested, you can do that using the "Subscribe Now" link in the upper left corner of: https://www.doxpop.com.


Can Doxpop tell me if a document is fraudulent or affects me adversely?

No, We are not attorneys or title professionals. We can't offer legal advice. What we can do is alert you to the document filing and, if you ask,  provide some details about what appears on the document. In most cases, you'll recognize it as a legitimate document. If you don't recognize the document, you should investigate. If you call or email our support team, we can help you by providing some of the details about the document. If you are still puzzled about the document after learning those details, then we recommend you consult with someone who is qualified to render an opinion about if or how the document affects your property.


I got notice from Doxpop about my neighbor's property transactions. Why?

If you live outside of an incorporated area such as a city or town, your "short legal description" is based on section, township and range. It is common for several people to own property in the same section. That means we'll send you an alert when a document is filed that references the same section. If you recognize the name of one of your neighbors on the document, that's the likely cause, and the document almost certainly doesn't affect you. 

This is a situation where we know some false alerts will occur due to the limitations of the property indexing system... But we believe better safe than sorry, so we send the alert to be sure.


Why can't Doxpop use my address or parcel number to avoid false alerts in unincorporated areas?

In Indiana, Recorders are required to index documents by entering the names of the parties involved and the short legal description. A short legal description will be a subdivision & lot number in an incorporated area, or section, township & range in rural areas. Because address & parcel number are not required to file a document, we can't use those without a serious risk of missing a document that doesn't include that information. Even if it means we'll have to explain a few false alarms, we'd much rather err on the side of caution given the stakes involved.


Is property watch really free? How can you do this?

The Property Watch service is provided at no cost to the public in counties where the Recorders have partnered with Doxpop. Because the Recorders who choose Doxpop are careful stewards of the public trust, no tax money or other public funding was used to provide this service to your community. Doxpop funds this service solely using the revenue we generate by providing research to professionals who use our system to locate the documents they use in their business.


What about privacy? Does Doxpop share any of the information I provide while signing up?

Doxpop will never sell or transfer the information you enter during signup. Our revenue comes from  providing legitimate services, so there's no need to engage in shady practices. If you're curious about our paid services, take a look at https://www.doxpop.com/prod/common/AboutUs.

Text (SMS) notifications are now available for Doxpop Property Watch!



Real estate fraud, which used to be an extremely rare occurrence, has been on the rise recently. Doxpop's Property Watch service provides notification of any document filed in your county Recorder's or Register of Deeds' office affecting you or your property. Property Watch is a free tool you can use to detect this first step in fraud immediately. While there is no way to prevent the filing of a fraudulent document, immediate detection will allow you to take action to prevent the next step, which is where the actual theft occurs by using the fraudulent document to "sell" the property or obtain a loan using it as collateral.

Doxpop has offered our email-based Property Watch Service for our partner counties since 2010. Recently, we've been asked to allow subscribers to opt for text notifications instead of, or in addition to the email notices.

We are proud to announce that our long anticipated Text (SMS) notification service, is now available. 

What you need to know:
  • If you have an existing Property Watch subscription and don't want to add text notification, you don't have to do anything. Your existing watch will continue to protect you.
  • If you have an existing Property Watch subscription and do want to add text notifications, you can just add a new subscription, opting for text notification. If you also want to unsubscribe from the old "email-only" watch, that's easy to do, but not necessary. 
To add a new watch, just go straight to https://watch.doxpop.com and follow the instructions.

If you want to cancel your existing watch, go to https://watch.doxpop.com/property/unsubscribe. Enter the email address you used to sign up, and click on "unsubscribe" and follow the instructions to verify your intent. 


A few hints to make setting up your watch easier:
  • When you enter your name, in most cases it's best to leave out your middle initial/name. This is because we want to catch any document filed that references you, even if it doesn't include the middle name. If you omit that portion, we'll search for matching first & last names both with and without the middle initial/name, so you are covered more completely.  
  • We locate your property by showing you a list of deeds that match the name you entered. This list may include old deeds as well, because there is no completely reliable way for a computer to determine that you no longer have an interest in a parcel. Just select the deeds for the property(s) you currently own.
  • If no deeds are listed, it may be because your name is mis-spelled, or your deed(s) may be old enough to not be on the computer system. If this happens, please carefully check the spelling of your name, and if that doesn't solve the problem, give us a call. (866) 369-7671
  • All deeds have a legal description. A few will also have a street address. Since many people don't know their legal description, we provide the street address, if it is available, and the date of the deed along with the person you bought it from to help you identify your property. (If you're unsure which parcels to check, just give us a call, and we'll help.)

Hamilton County Recorded Documents leaving Doxpop


Update: Hamilton County's documents will continue to be available through July 1, 2025, not June 15th, as originally planned. (Details here.)


The Hamilton County Recorder's Office will be changing their document management and indexing system on May 1st 2025. This new system is not part of the Doxpop network, and so Hamilton County's documents and property watch services will no longer be available via Doxpop after this transition is completed. 

When the transition is complete, Hamilton County recorded documents will be available online for low volume users through the Tapestry system at https://www.landrecords.com. High volume users can inquire about additional services designed to serve professional researchers by calling the Recorder's Office at (317) 776-9717 during their normal operating hours of 8:00 AM - 4:30 PM, Monday through Friday.

Doxpop Property Watch alerts will also halt when Doxpop stops receiving updates from Hamilton County on May 1st. We will email all current users with instructions for setting up new alerts at that time.

Note: We will keep Hamilton County on our system until June 15th to insure that the new system is working well and the transition is complete before we shut down access through Doxpop. However, it is important to remember that any documents filed on or after 5/1/2025 will not be found on Doxpop.

Jefferson County Recorded Documents now available on Doxpop!

Please join us in welcoming the Jefferson County Recorder's Office to our Doxpop network! The new Recorder, Amy Stephens, has been working to update the office and its services, and has added online search access as well as Property Watch to her county.

Jefferson County's Recorded Document index and images are now searchable at https://www.doxpop.com/prod/in/recorder/FindRecordedDocuments, where you can find advanced search features such as date range, document type, and legal description, along with a superior name search that locates names in any order and includes nicknames and common misspellings. Document PDFs can be purchased and downloaded instantly as well.


Document index data and images begin in Jefferson County January 1, 1993, and are searchable through their current index within 10 minutes. Please note that document numbers have changed formats through the years as shown here:

  • 1993 through 1997: 4 digits with no year, for example 2965, 5319
  • 1998 through 1999: 6 digits with 2-digit year, for example 980019, 990132
  • 2000 through 2003: 8 digits with 4-digit year, for example 20010027, 20038243
  • 2004 and later: 9 digits with 4-digit year, for example 200405829, 202303561

Oversized documents such as Plats and Surveys do not yet have images available to purchase and download, but you can contact the Recorder's Office to retrieve those copies as we work to add them to the system.

Jefferson County is also available on the Doxpop Property Watch alert system at https://watch.doxpop.com/property/


Quickly set an alert on your name, and any properties you select, to be notified when a matching document is filed in the Recorder's Office. This service is provided to the public of Jefferson County at no cost to you on behalf of the Recorder.

Welcome to the Fayette County Recorder's Office!

Please join us in celebrating some big changes in Fayette County, Indiana!

Fayette County is the 43rd Recorder to join Doxpop


The Fayette County Recorder's Office, led by Recorder Ruth Nutty, has transitioned to a new, local software package that allows us to add them to the Doxpop Public Access System. Having completed that technical conversion last week, they are ready to increase their public access offerings by making these land records available 24/7.

Scanned images are available to view and purchase, along with a searchable index for all documents filed since January 1994. Anyone wishing to look up recorded documents on-line may visit http://www.doxpop.com to use the service. A low-volume search plan is available for free, with higher-volume subscriptions available to commercial users for a fee.

New Castle Courier Times prints nice article about Doxpop's Property Watch Service.

Following up on a recent public demonstration, the Courier Times in New Castle Indiana has published a nice article describing the property watch service that Doxpop provides at no cost to recorders who partner with us for their public access needs:

Doxpop's Property Watch Service may be found at http://watch.doxpop.com. The service allows people to set a watch for any documents filed in their local recorder's office that affect their property. The Doxpop Property Watch Service provides eMailed notification within 10 minutes of the time that the document is filed.

There is no cost to either the county or the users of the property watch service. This allows recorders to add a valuable service for their constituents without increased use of public funds.

A Few Noteworthy Mentions

We've had a few noteworthy news announcements this past week:

First things first, the Randolph County Recorder has recently joined the Doxpop network. Randolph County has also joined Doxpop's free Property Watch service designed to help eliminate property fraud. Special thanks to Randolph County Recorder Debbie Preston for her diligent efforts in making Doxpop available in her county.

Next, we are excited to announce that Henry County is the latest county to provide Doxpop's Fine Payment service. A fun fact, if you happen to receive a traffic citation anywhere between Indianapolis and the Ohio border on Interstate 70, you should be able to pay your ticket using Doxpop Fine Payment.

Dubois County Joins Doxpop Property Watch

Today, we welcome Dubois County to the Doxpop Property Watch system. Doxpop Property Watch allows property owners in Dubois County to monitor the Recorder's office for newly filed documents that affect their property. This service is provided at no cost to the public and is available at watch.doxpop.com. Dubois County has been adding many Doxpop services recently. The clerk's office in Dubois County also uses the Doxpop on-line Fine Payment service that allows payment of traffic tickets on-line, and an eFiling service that streamlines case processing.

Vermillion County Recorder Joins Doxpop

The Vermillion County Recorder, Lori Porter, has just become the 14th Indiana Recorder to make recorded document index and image information available on the web via Doxpop. Lori is also providing the Doxpop Property Watch Service to her community. Both services are provided on the web without the need to dip into the pockets of taxpayers, proving once again that county government in Indiana can still teach our state a few lessons about efficiency and accountability.

Local property owners who wish to receive email notification when documents referencing their property are filed by the Recorder may go to watch.doxpop.com to register. It costs nothing to use this free service.

Access to detailed index and image information is provided at www.doxpop.com as a subscription service designed to serve businesses. Fees collected for the subscription service allow Doxpop and the Recorder's Office to provide these services with no public funding. The recorded document index information for Vermillion County dates back to August of 1994. Scanned images of documents begin in December of 1997. Vermillion County indexes over 69,000 documents, with images provided for 44,000. In all, Doxpop now provides index information for 5.1 million Indiana recorded documents and images for 4.1 million documents.

Vermillion County's Court Records have been available online at Doxpop since 2009 thanks to the efforts of Clerk Florinda Pruitt and Judge Bruce Stengel. Doxpop provides similar public access services to several other counties in the region including Vigo, Sullivan, Clay, Putnam, Montgomery, and Fountain.

Montgomery County Recorder Now Providing On-Line Access Via Doxpop

Doxpop is pleased to welcome the Montgomery County Recorder to the Doxpop network. Montgomery County is the 13th Indiana Recorder's Office to offer on-line access to documents such as mortgages, deeds, and liens via the Doxpop website. In addition to providing on-line access to recorded documents, Montgomery County is also the 10th Indiana county to participate in Doxpop's Property Watch service. The Montgomery County document index extends back to 1995, while scanned images are available beginning in July of 2000. Doxpop currently provides access to over 12.5 million court case records and over 4.9 million recorded documents.
